Overview

The Assistant Director of Finance will supervise and coordinate the Accounting Operations in the hotel to ensure accurate, timely and consistent reporting in accordance with policies and procedures, Federal, State and local laws and regulations. Assist and support the Director of Finance in maintaining control over income, expenses and the assets and liabilities of the hotel. Position is responsible for the daily operation of Payroll, Accounts Receivable, Accounts Payable, Income Journal, General Cashiering, Taxes, and internal controls. May recommend and implement operational changes.

Responsibilities

  • Manage all day to day accounting functions of the property, including daily income audit, credit card reconciliations, balance sheet reconciliations, AP processing, AR Processing, guest invoice inquiries and cash management.
  • Complete profit and loss statements.
  • Oversee payroll functions, including tip payouts, reconciliations and ensure timely processing of all payroll
  • Assist with the coordinating the completion of all forecasts and budgets as required, with the full and active participation of department managers.
  • Analyze financial data and operations in order to assist and advise management in maintaining the hotels' financial objectives.
  • Produce and distribute daily and weekly revenue reports.
  • Coordinate and facilitate external and internal audits.
  • Prepare daily/weekly labor reports.
  • Audit all internal financial controls including purchasing, cash handling, disbursements, credit extension, inventories, assets, master keys, payroll, and records.
  • Assist in the preparation of all financial reports in accordance with the company's requirements meeting various due dates and deadlines.
  • Manage cash drawers, monitor process of cash deposits from each applicable team, and work with operations to deposit cash revenues.
  • Prepare or oversee the preparation of all local, state and federal tax returns and other required reporting
  • Develop and maintain cost control systems working with the operational leaders to ensure strong monthly financial performance
  • Monitor cash flow across the operation and work with the Director of Finance as needed to maintain strong cash position
  • Follow SOP for reporting of benefit changes/enrollments.


Qualifications

EXPERIENCE, EDUCATION, AND CERTIFICATIONS
  • 5+ years' experience in progressive hospitality finance, including 2 years in a leadership role. Luxury hotel experience preferred.
  • Degree/diploma in Accounting or Finance or an equivalent combination of education and experience that provides knowledge, skills, and ability sufficient to successfully perform the duties of the position.
  • Working knowledge of local financial practices and taxation; work experience in country required.

  • Ability to perform numerical operations using basic counting, adding, subtracting, multiplying or dividing.
  • Understanding of the Uniform System of Accounts for Lodging.
  • Strong command of software applications, especially Microsoft Office (Word, Excel, PowerPoint) and hotel-specific platforms (MICROS Opera, Sabre/SYNXIS, Delphi, SUN, etc.).
  • Ability to effectively deal with internal and external customers and staff, some of whom will require high levels of patience, tact, and diplomacy.
  • Fluency in English: additional languages preferred.


PHYSICAL DEMANDS
  • Ability to move throughout the business (standing, walking, kneeling, bending) for extended periods of time.
  • Ability to sit for extended periods of time.
  • Ability to make repeating movements of the arms, hands, and wrists.
  • Ability to express or exchange ideas verbally and perceive sound by ear.
  • Ability to obtain impressions through the eyes.
  • Manual dexterity, hand-eye coordination, and ability to work with hand above shoulders.
  • Ability to occasionally move objects (lift, push, pull, balance, carry) up to 10 pounds / 5 kilograms.
  • Ability to tolerate exposure to heat, cold, chemicals, and loud/noisy environment.
