Job Introduction

The role sits within the Finance & Operations Directorate and reports to the Business Advisor for Governance. The team provides a range of support services to our Trustees, Executive team and the wider organisation. The successful candidate will provide specific support to 2/3 of the CiN Directors. This will include general administration, diary management, minuting key meetings and co-ordinating meetings and events with senior stakeholders, trustees and external high profile individuals. The role holder will also be required to manage designated charity wide activity, which may include:

  • Supporting the delivery of key change projects
  • Managing processes that support the Joiners/Movers/Leavers activity.
  • Delivering communications and supporting key engagement activities
  • Assisting with delivering logistics for the Children in Need Appeal night of television


Main Responsibilities

  • Organise meetings and events, including the booking of meeting rooms and or venues.
  • Provide diary management to 2/3 Directors, including managing and scheduling key calendar appointments ensuring effective use of Director's time and that all meetings are managed with appropriate level of forward planning.
  • Liaise with a number of internal and external contacts, screening and prioritising all forms of incoming communications.
  • Support the Executive team members and Business Advisor to achieve good governance by minuting key meetings, ensuring follow up of actions and providing assistance on governance related tasks
  • Support with planning and execution of team wide engagement projects and organisation wide strategic objectives.
  • Co-ordinating directorate and other conferences (manage and organise team wide events (c. 150 staff) and meetings, including the booking of venues, travel and accommodation) and assist with delivering logistics for the Appeal night
  • Assist in maintaining a corporate calendar with the key meeting dates within CIN, working closely with colleagues within and outside of the team.
  • Work closely with the other Assistants with regards to scheduling and related logistics for Board and Committee meetings and other events.
  • Undertake appropriate training and support the relevant team/director in the use of iBabs (our board software programme).
  • Undertake general administrative activities for the Exec team which may include travel, meeting room bookings and away day logistics.


Are you the right Candidate?

  • Proven experience as a personal or executive assistant and able to demonstrate strong organisation, diary management and planning skills.
  • Strong time management skills and able to prioritise own workload effectively, to coordinate activities and conflicting demands to ensure that tight deadlines are met.
  • Excellent communication and interpersonal skills, with the ability to work well with range of people at all levels.
  • Able to develop strong working relationships with stakeholders at all levels of the organisation and externally.
  • Ability to use own initiative, be proactive and deal with specific queries as they arise.
