Job description

The Indian language audience is the largest non-English audience for BBC News. Our English language services, combined with services in six Indian languages, allow BBC News to reach more than 80 million people in India each week - a figure that is steadily increasing as people turn to us for impartial and accurate news coverage.

We have an exciting opportunity for a Team Assistant within BBC News India Administration Department, based in Delhi. BBC News India operates to serve UK and International audiences from within India, with teams such as Newsgathering, Monitoring, English Online, Bengali and Urdu Services. This role will provide comprehensive administrative assistance to managers and team members, please note this is not a journalism role. You will have responsibility for a broad range of administrative tasks e.g. the handling and direction of queries, maintenance of records, acting as the first point of contact for the team, coordination of projects and activities. The role will require regular travel across Delhi for specific courier-related tasks.

Main responsibilities

Provide comprehensive administrative and operational assistance to team using discretion to identify and resolve first line issues, referring to supervisor/manager for assistance as necessary. In addition:
  • Organise key team meetings including coordination and distribution of agendas, supporting documents, production and distribution of minutes, and follow-up on outstanding actions.
  • Assess the range and volume of work to be undertaken for the day or days ahead and plan to ensure work is completed to time and to an appropriate standard.
  • Make routine arrangements and bookings, and provide diary management assistance to team to help ensure that they use their time effectively.
  • Maintain, efficiently operate and improve a range of office processes and administrative systems (including filing) to ensure the smooth running of the team.
  • Prepare documents, presentations and other materials to a clear brief, using established formats and standard software.
  • Prepare straightforward analysis, manipulation and interpretation of data.
  • Use discretion to identify and resolve first line issues, referring to supervisor/manager for assistance as necessary.
  • Follow set ordering procedures to ensure adequate low value supplies/resources are available to meet office/work unit requirements.
  • Responsible for coordinating team IT requests, user administration, systems access and record keeping. Working with the lead asset manager to ensure those who are joining, moving or leaving the department are equipped appropriately with the right IT.
  • Responsible for providing administration for expatriates seconded to BBC News India
  • Co-ordinating requests for Visas to India, including preparing sponsorship letters and keeping a log of all requests.


Are you the right candidate?

The successful candidate will have experience of providing administration assistance in at least one organisation.
  • Be organised with ability to prioritise own workload effectively, to coordinate activities and conflicting demands to ensure that tight deadlines are met.
  • Possess effective communication skills and an ability to work well with a range of people at all levels
  • Able to research, gather, analyse, collate and present information as required.
  • Proficient computer skills with strong experience of office software packages (i.e. Word, Excel and PowerPoint.)
  • Be able to use your initiative with minimal supervision and deal with routine queries as they arise, escalating to others as necessary
  • Strong attention to detail
  • It would be useful if you also have Media sector experience and hold a relevant business administration qualification.
