POSITION SUMMARY: The Event Manager connects with our guests to create a memorable hospitality experience. This position represents Joia Beach in all event opportunities and is responsible for reaching revenue goals for the Sales Department.

The Events Manager is responsible for soliciting, planning and executing large group dining and large private events from start to finish. They are responsible for building business for the restaurant through direct and indirect sales techniques and works with the marketing manager to create promotions and marketing at the restaurant level.

This position requires a combination of in-office, onsite event execution and offsite event execution availability. The hours required of the position include a flexible schedule that may include nights, weekends, and holidays as the department and event calendar requires.

ESSENTIAL JOB DUTIES:

Sales and Management of Events Operations

  • Proactive sales approach, assertive and fast paced, driven to succeed. Understanding of market segment, competitor's strengths, weaknesses, economic trends, supply and demand.
  • Researches and analyzes new products, pricing, and services of competition.
  • Executes event management strategy that is aligned with the company's business strategy and leads its execution.
    • Under direction of Director of Event Sales, responsible for group contracts, planning & execution of events with up to 50 guests, including
      • Private/Semi-Private Dining
      • Social Events
      • Corporate Events
      • Association Events
  • Conducts walk-through of banquet floor to help ensure client satisfaction and quality standards.
  • Works with Operations team to take & keep all event supply inventory, reorders as needed.
  • Meets or exceeds all monthly revenue goals for booking market segment.

Manage Pre- & Post Event Administration

  • Coordinate necessary decorations, music or AV needs, necessary printed materials/signage, outside floral requests, and other third-party vendor event details
  • Create & detail all BEOs and Event Menus for client approval at least 10 days prior to an event.
  • Proactive communication between client, vendors & management including all related parties within the F&B department & Marketing department when applicable.
  • Schedule & work with outside vendors and collect W9, invoices and process Check Requests as needed.
  • Obtain proper COI for outside vendors when applicable.
  • Coordinate all necessary details regarding, but not limited to: printed materials/signage, detailed parking plan for valet, vendor load in/outs, event timeline plans, and coordinate staffing with Operations and duties for facility & security.
  • Facilitate all BEO communication, updates, or changes with operational team in a timely manner.
  • Participate in weekly BEO meeting to plan for all events at least 10 days prior to arrival to ensure advanced team preparation.
  • Attend weekly operations meetings in the absence of the Director of Event Sales & coordinate effectively with team to ensure all event procedures are being implemented, followed, and communicated in preparation for day-of events.
  • Oversee and inform managers of any guest feedback. Follow up with corrective action when any guest issues arise.
  • Responsible for assisting with the execution of events and must be on site for its entirety, including reconciling all event billing and vendor payments.
  • Responsible for working with Marketing Manager / Graphic Designer to create any necessary branded collateral for events in a timely manner.
  • Weekly Reports to be sent out to management detailing activity for the week, definite, tentative, and prospecting events.
  • Maintain an active monthly outreach plan to solicit new lead opportunities, maintain DMC and other third-party event planner relationships, drive repeat event business with previous groups, and continuously champion the venue as an attractive option for all private event hosting opportunities.
  • Act as liaison between operations, and marketing team to ensure all deliverables are onsite for any sold private event.

Ensuring Exceptional Customer Service

  • Creates an atmosphere in all event management operations areas that meets or exceeds guest expectations.
  • Sets a positive example for guest relations, event staff and venue operations.
  • Interacts with guests to obtain feedback on product quality and service levels.
  • Responds to and handles guest problems and complaints.
  • Empowers employees to provide excellent customer service.
  • Ensures employees understand expectations and parameters.
  • Responsible for continued hospitality training and development of event staff.
  • Strives to improve service performance for self and others on the team.
  • Emphasizes guest satisfaction during all departmental meetings and focuses on continuous improvement.

Conducting Human Resources Activities

  • Observes service behaviors of employees and provides feedback to Managers.

Reviews staffing levels to ensure that guest service and operational needs are met

Qualifications

LICENSE/QUALIFICATIONS:

  • High school diploma or GED; 5+ years’ experience in event management, food and beverage management, hospitality sales management, or related professional area.

OR

  • 2-year degree from an accredited university in Hotel and Restaurant Management, Hospitality, Business Administration, or related major; 2 years’ experience in the event management, food and beverage, sales and marketing, or related professional area.
