The Program Director is responsible for the administration of the following areas: Summer Resident camp, off-season programing, weekend camping, and new program development.
Responsibilities include: Staff development, volunteer recruitment, volunteer leadership volunteer development, risk management, fiscal management, financial development, program development, promotion and marketing. Implements policies, procedures, and standards established by the Board of Directors.
Key Result Areas: Fiscal Management
- Expense Reports / Reimbursements are completed in an accurate and timely manner.
- Revenue is recorded and deposited in an accurate and timely manner.
- Tracks revenues and expenses, ensuring proper budget management.
Program Development and Marketing
- Responsible for the overall program growth and evaluation, special program thrusts, and innovative, experimental program efforts.
- Oversees the development and implementation of program marketing plans. Responsible for marketing of summer campers.
- Participate in face to face recruiting efforts such as rally nights and camp fairs.
- Ensure lesson plans are prepared and implemented that meet camp outcomes and the abilities of the campers. This includes outdoor education as well as summer programs.
- Deliver progressive and creative program activities.
- Evaluate the success of the program and the development of the campers abilities and skills in various program activities.
- Coordinate all camp program and campfire activities with other staff.
- Work with Camp Administrator to ensure that Camp E.L.K. and Coulter Pines are ACA accredited with a score of 95% or better. Handle assigned responsibilities for maintenance of accreditation.
- Provide direct leadership to summer camp weeks and weekend programs as assigned.
Financial Development
- Participates in the annual support campaign in all areas as needed.
- Assists in recruiting campaign volunteers.
- Serves as a representative of the San Gabriel Valley YMCA in the community; participates in selected community organizations and activities.
Staff Supervision and Development
- Maintains high staff morale and low staff turnover.
- Administers corporate personnel policies and procedures; assures compliance with all laws, policies and procedures in matters related to hiring, terminations, and employee benefits.
- Maintains a regular schedule of staff meetings, one-to-one conferences, and written work performance and review (WP&R) sessions.
- Ensure that camp staff and campers know and follow safety and educational procedures during camp programs.
- Provides quality director and volunteer staff training.
- Supervise and evaluate program specialists to develop and implement all facets of camp program activities.
- Develop and implement schedules and records for all areas of camp program and facilities.
- Supervise summer volunteer leadership staff assuring a quality summer camp experience.
Camper Involvement
- Creates areas for camper involvement and volunteerism.
- Responsible for the development and operation of camper involvement in all program areas.
Planning
- Provides primary leadership to the development of volunteer/staff involvement in all areas.
- Works on strategic planning with camp director, staff and volunteers.
Administration
- Responsible for the implementation of the bylaws, policies, goals and priorities, standards, and procedures developed by the Board of Directors.
- Payroll / Vacation / Job Descriptions / New Hire paperwork, etc are completed in an accurate and timely manner.
- Follow camping services timeline and complete task as assigned
- Keep office area clean and organized
- Reports submitted to Director of Camping Services in a timely manner.
Community Relationships
- Develops key contacts and becomes involved with members and the businesses in the community.
- Increases awareness of the YMCA through participation in community events and other organizations.
- Improves image of the YMCA through quality programs, local media sources, written materials, online communication, and word-of-mouth communication.
- Participate as a staff liaison to the annual Strengthening Families Campaign.
- Participate in special events: Healthy Kids Day, Halloween at the Y, Turkey Trot, Parent Orientations, Camp Fairs.
- Participate in Big Pines Association Activities to support the camping mission
Safety
- Makes sure safety is always a factor in the planning of activities.
- Works with the YMCA Safety Committee and with the staff team to ensure a safe environment for all YMCA employees and participants.
- Provide guidelines for programs utilizing camp equipment.
- Works with staff to enforce the policies set by the YMCA Safety Committee and the IIPP program.
- Provides two (2) mandatory branch safety meetings each year.
