Event Specialist

Client Services, Sales & Consumer Safety

Job Summary: This position requires an individual who can promote events at the museum, plan in advance, yet attend to last minute details. The individual must communicate clearly, be outgoing, approachable, enthusiastic, and enjoy interaction with diverse guests and vendors to sell and book events. The position requires an individual who can multitask and prioritize. Must be able to work in a fast-paced environment, regularly monitoring the quality of the facility, maintain a safe, clean, attractive, sanitary environment, and respond to other functions as needed. This position develops and processes contracts, forms, processes money, and coordinates all aspects of the event center. Spanish as a second language is desirable. Five years of work experience selling and maintaining files is required. College is desirable. Must be at least 21 years of age, able to meet physical requirements, and work flexible hours including weekends, mornings, and evenings. The position reports to the Executive Director.

Essential Job Functions:

The primary duties and responsibilities of this position include the following, but are not limited to:

Event Coordinator

  • Market, sell and calendar the event space to consumers.
  • Establish, coordinate, and maintain event client contracts and files.
  • Coordinate and maintain vendor calendar, payments, and files.
  • Understand and control the health and safety codes pertinent to event consumer safety.
  • Coordinate and assist event staff in setting up event spaces, maintaining the facility, lavatories, and creating a friendly and safe environment for consumers.
  • Establish, document and coordinate event consumer invoices and payments.
  • Support the lobby and museum with phone and cash register coverage.
  • Support museum in-house events.
  • Prospecting to increase events.
  • Attend events as a building operations specialist, ability to add staffing as needed for event oversight. Focus on event client, vendors, crowd control.
  • Establish event and lobby cash register reports.
  • Ability to interact with consumers to provide a high quality of service and maintain museum protocols.
  • Working knowledge of building systems. Ability to open and close the facility. Ability to maintain a clean environment.
  • Identify and fill out work orders for building operations or janitorial work in advance of events.
  • Anticipate consumer needs and building operation capacity.

Minimum Skills and Requirements:

  • Sales and customer service.
  • Planning, attention to detail in data entry.
  • Strong verbal and written communication with consumers and staff.
  • Skilled computer technology. Detail oriented.
  • Website and graphic development is a plus.
  • Food handler’s license is required.
  • Ability to work independently and in teams.
  • Ability to follow instructions and follow through with projects in a timely fashion.
  • Optimistic, flexible, organized, customer orientation tempered by potential code violation and security issues, team player.

Physical Requirements & Work Environment:

  • Must be able to lift and carry up to 25 pounds often and 50 pounds on occasion.
  • Ability to push and carry, pull; sit at a desk, stand, and walk. Must also be able to tolerate a climate of hot and cold.
  • Potential to walk on uneven surfaces, cement, ability to tolerate dust and chemical fumes, and work around machinery and equipment.
