POSITION DESCRIPTION
Job title: Accounts Payable Supervisor
Department: Accounting
FLSA status: Exempt
Reports to: Controller

Job Summary:

The successful Accounts Payable Supervisor is responsible for ensuring timely and accurate accounts payable processing in accordance with Company policies, with a focus on providing strong internal guest service and developing the Accounts Payable team.

Essential Functions:
Accounts Payable Responsibilities
  • Manage and assist Accounts Payable Specialist and seasonal Interns in receiving packages from assigned cities and sorting, date stamping and properly inputting into the accounting system
  • Ensure all invoices entered into the accounting system are mathematically accurate, coded to the proper account and properly approved for payment
  • Oversee weekly check run to vendors in a timely manner; take advantage of discounts as available
  • Ensure all back-up related to payments are properly filed in a logical manner
  • Participate in month-end close process with responsibility for various journal entries and account re-classes
  • Track corporate credit card spending and records monthly activity
  • Assist Accounts Payable team in researching & responding to all inquiries from vendors, city staff & HQ staff as it relates to vendor payments and P&L charges
  • Responsible for self-assessing use tax on purchases as applicable
  • Responsible for gathering information and preparing annual 1099 forms
  • Assist in issuing manual checks
  • Responsible for maintenance of the capital and repair & maintenance expenditure tracking report, rebate analysis and other reports
  • Participate in special projects as requested

Staff Management
  • Oversee and direct daily activities of Accounts Payable Specialist and seasonal Interns
  • Participate in hiring process, onboarding, and integration of Accounts Payable staff
  • Provide ongoing performance feedback & coaching to all Accounts Payable team members
  • Prepare & delivers annual performance reviews of all Accounts Payable team members
  • Provide and directs training and development/career growth plans for each Accounts Payable team member

Other
  • Maintain fleet-wide licenses and certifications in accordance with regulatory requirements
  • Responsible for maintaining fixed asset system
  • Prepare and files abandoned property returns
  • Perform other duties as assigned

Job Specifications / qualifications:
  • Associates or Bachelor's degree in business or related field
  • Three (3) to five (5) years of Accounts Payable experience
  • Prior supervisory experience
  • Able to work in an organized manner
  • High attention to detail
  • Able to consistently meet tight deadlines
  • Able to communicate effectively in oral and written form
  • Ability to manage multiple priorities/tasks
  • Able to work independently
  • Establish and maintain effective working relationships as required by job responsibility
  • Qualified comprehensive background check
  • Strong skills in Microsoft Office applications (especially Word & Excel)
  • Experience with accounts payable software. Microsoft Dynamics SL experience is a plus
